GROUP TRAVEL GUIDE
Group Travel Guide SHEET INSTRUCTIONS
The MAINE MOTORCOACH NETWORK Group Travel Guide is published annually and is distributed during Sales Missions, Familiarization (FAM) Tours and in response of tour operator inquiries to the Maine Office of Tourism.
Your business must be located in Maine and be GROUP FRIENDLY to be accepted in the Group Travel Guide. Your Group Travel Guide Sheet should include pictures, suggested itineraries and special points of local interest that are available for groups of up to 55 passengers. Consider including mileage from major destinations and other helpful hints. Include your group contact information prominently.
- Two sided, high resolution PDF documents are required. Include both pages (front & back) in one PDF document
- 8 1/2 x 11 inch (portrait style)
- 4 color PDF document with or without page marks (marks preferred)
- Provide 1/8 inch bleed (no text) on top, right and bottom
- Provide 1/4 inch bleed (no text) on left side if the front page for the coil binding
- Name the PDF document with your business or attraction name
- Complete and submit the Group Travel Guide Sheet Submission Form attaching your new 2019 PDF file if needed.
- Each 2-sided sheet inclusion costs $99 - other options also available on submission form
- An invoice will be sent to the e-mail address entered on the submission form with payment instructions
MOTORCOACH FRIENDLY GUIDELINES
Many businesses in Maine would like to host MotorCoach business. It is important to understand from a tour operator's perspective what is necessary for a successful visit. If the first visit does not impress, it is unlikely that there will be a second opportunity. Review this list to see if your business meets their requirements.
- Motor coach drop-off, parking and turning space must be free of obstructions (branches, wires, etc.) both overhead and beneath (high spots causing drag, unpaved muddy parking areas, etc.).
- Safe and level loading and unloading areas with a reasonable turning radius.
- Clean and accessible public restrooms to accommodate up to 55 people in a reasonable amount of time. One restroom is not considered adequate.
- Have a staffer board the coach upon arrival to give an orientation to the site and offer key information to help guests enjoy their visit. Guests expect to get something the average visitor does not get. An on-board group farewell is a nice added touch.
- Staffing must be adequate to handle 40-55 guests in an efficient, professional, friendly and timely manner. Staff training for group efficiency is very important. Tours are on a relatively strict time-line. All guests arrive and depart at the same time, therefore, wait time for every aspect of service must be minimized.
- Attractions are expected to provide complimentary admission or tickets to the coach driver and the group escort.
- Groups want access to something unique that most visitors do not get to see or do. They expect to be treated as "special", for example, a welcome reception, a unique gift or demonstrations.
- MIMINUM PROPERTY EXPECTATIONS: Provide a minimum of 30 guest rooms with at least 25 doubles and 2 singles (complimentary for the coach driver and escort) for each tour group. Tiered pricing with discounts and a flexible deposit policy is expected. Package should include group greeting upon arrival, efficient baggage handling for arrival and departure, preregistration with room keys prepared in advance and breakfast included.
- MINIMUM RESTAURANT EXPECTATIONS: Provide a facility large enough to handle 40-55 people in a timely manner in addition to your regular business. Predetermine the seating arrangements with their escort and a customized or limited menu to facilitate the group. Complete lunch in an hour and dinner in 1 1/2 hours with a complimentary meal for the coach driver and escort. Multiple restrooms must be available.
